Planning of group tours

This is a guide with important points in the process leading up to a trip to Finca Alamo. The guide has been prepared for private trips and church trips.

Anchoring

Anchoring decisions is the process of creating shared understanding, ownership and commitment to a decision

Anchored in desire and motivation

The trip should be desired by a majority of the target group. Desire and motivation are often created through good and inspiring information.

Create engagement

Motivation often arises when someone:

  • have already been there and are thrilled
  • have talked to others who have had good experiences
  • have seen or read about the place as a good destination for trips

Use available resources

Feel free to use images and videos from Finca Alamo to create interest and engagement.

  • On this website, you’ll find inspiration that you can share with others.
You can also find great inspiration on Finca Alamo’s Instagram, Facebook, and external website.

Map interest

  • Use pre-registration or a simple survey to gauge interest.

Number of participants

  • There should be a sufficient number of participants to fill the venue.
  • If you are unable to fill the space:
    • consider collaboration with another church
    • Feel free to contact your rental manager for advice on possible solutions

Anchoring in budget and economy

This point basically applies to trips organized by the church, but private trips should also have a well-thought-out financial plan.

All tours:

Financial plan

  • A financial plan should be drawn up for the trip. This forms the basis for assessing whether the project is financially sound.

Agreement

  • When the trip is included in a budget, the person responsible can enter into an agreement with Finca Alamo.
  • Please be aware of the payment schedule and cancellation policy.

Church tours:

Guidelines

  • Familiarize yourself with the guidelines for trips and finances that apply to your association or group.
For 60+, there is a separate guide on the 60+ website (opens in a new window):
Guidelines for Financial Management in 60+.

Approval and budget

  • The trip must be approved by the Board of Directors and the Annual General Meeting so that it can be incorporated into the budget for the year in which it is to take place.
  • If the trip is planned in the current budget year without being budgeted, the board must consider a possible revised budget.

Agreement

  • When the trip is included in a budget, the person responsible can enter into an agreement with Finca Alamo.
  • As a general rule, it is the board that enters into agreements on behalf of the church/association. With an approved budget, this can normally be delegated to the group leader (e.g. 60+ leader).
  • The agreement partner must be the church/association’s legal name.

Booking

When will you be traveling?

  • The choice of time for the trip is influenced by several factors.
  • It’s a good idea to consider these early in your planning

Weather and temperature

  • Which climate best suits the group?
  • Is it important to be able to use the pool and outdoor areas?

Economy

  • When can the trip be incorporated into an approved budget?
  • Is there a need for time to save up funds?

Local calendar

  • How does the time fit in with other events in the church or group?

Accessibility at Finca Alamo

  • Which periods are available?
  • Are there times that are particularly popular and book up quickly?

Flight times and prices

Travel time and costs can vary widely:

  • What are the best days to travel to Malaga from your point of departure?
  • How does this affect the total price?

☀️ A little about weather and temperature

In Spain, you can experience sunshine and good weather all year round – by Norwegian standards.

For what we usually refer to as “southern heat,” the period from May to October is the most typical, but you can also enjoy nice days outside of these months. For example, Easter—which is usually in April—has been a wonderful experience for those who have chosen Finca Alamo.

The pool is currently not heated. That means:

  • Good bathing temperature normally from May to October
  • Limited use outside this period

(We are working on a solution that can extend the pool season.)
